NOTE - Spam reporting has a limited "shelf life". It is essential that you report it immediately for reporting to be effective. If it is more than one day old, don't report it, as we will ignore it - it is too late to act on it.
NOTE - Do not report messages already marked/filed as Spam. You have choices on how to handle these automatically - delete them automatically (not recommended), file them in your Spam folder on the server/webmail, or put them in your Inbox (not recommended).
You can set your spam filter handling options by going to yourdomain/user with your web browser - log in with your user name (the part of your email address before the @, domain name and email password.
With the recommended settings (file Spam to your Spam/blocked folder), you should visit yourdomain/webmail and look in your Spam folder periodically for any mis-filed messages.
The method depends on the email program you are using.
* Mozilla Thunderbird:
- Select the spam message in the message list
- Select "Message" in the drop-down menu, then "Forward As", and then select "as attachment"
- Send the message to:
spam@infotechdesign.net
* Apple Mail:
- Select the spam message in the message list
- Right-click the message and select "Forward as attachment"
- Send the message to:
spam@infotechdesign.net
For Outlook 2010, you need to install SpamGrabber, because Outlook makes it impossible to report spam properly.
- Open Outlook.
- Click File / Help. Over on the right, note whether Outlook 2010 is 32 bit or 64 bit.
- Close Outlook.
- Go to http://www.spamgrabber.org/download.shtml
- Download either SpamGrabber 5.0 for Outlook 2010 (32 bit) or (64 bit) to match your version of Outlook.
- Right-click on the Zip file and Extract All.
- In the extracted folder, double-click on Setup (NOT on SpamGrabber Setup)
- Take all the default settings.
- Once installed, start Outlook.
- You will see "SpamGrabber" on the menu bar, after "File | Home | Send/Receive | Folder | View"
- Click SpamGrabber and then Change Settings
- Under Options click on Reporting Profiles
- Click Add
- Put in a name for the profile like "infotech"
- put this in for the reporting email address:
spam@infotechdesign.net - click Add
- Click on the profile name under Reporting Profiles
- On the right click on Report Options
- check "Ask for verification before sending report"
- Select the profile on the right and click "Spam Default"
- click OK
Okay, now to report spam, highlight it in the message list and click "SpamGrabber" and "Report Spam". This will properly report the spam AND delete it from your message list ;-) NOTE - you must do this from the Message List.
